Frost Delay Policy

Effective October 19 – February 9. To protect course conditions and keep play consistent during colder months, the following policy applies:

If frost is present between October 19 and November 16, the day’s play will change to an 11:00 a.m. shotgun start. You’ll receive an email by 8:15 a.m. confirming the new start time. If the frost doesn’t clear and the course must close, an email will be sent by 10:00 a.m. If the course is closed, the Creekside Lounge will also remain closed.

All play begins with an 11:00 a.m. shotgun start every day. This gives time for frost to clear and ensures safe course conditions.

The Golf Shop will communicate frost delay details as follows:

  • A frost delay sign will be posted outside the Golf Shop (visible on the live webcam).
  • The Golf Shop will email all golfers on the day’s tee sheet with updates.
  • The tee sheet will show blocked times and indicate an 11:00 a.m. shotgun start if frost occurs.
  • If a frost delay is confirmed, play automatically moves to an 11:00 a.m. shotgun start.

Note: You do not need to rebook. If you can’t play in the shotgun, please call the Golf Shop to remove your name.

The Golf Shop will assign starting holes for the shotgun. Please check in before play to confirm your starting hole.

Event Coordinator

Location: Chilliwack Golf Club – Chilliwack, BC
Position Type: Full-time, Fixed term contract
Pay: $25.00 – $28.00 per hour

Position Overview

The Event Coordinator is the primary contact for all organizers and couples, responsible for the full pre-planning of weddings, banquets, and special events. This role builds strong client relationships, prepares detailed event documentation, and ensures seamless communication across departments.

Key Responsibilities

  • Meet with couples and event organizers to plan event details

Key Responsibilities

  • Wash, clean, and store power carts after each use.
  • Maintain the driving range, including picking, washing, and restocking range balls.
  • Wash, clean, and store member golf clubs after use.
  • Assist with general maintenance and upkeep around the golf shop, cart barn, and surrounding areas.
  • Ensure work areas are kept clean, safe, and organized.
  • Assist with other duties as assigned by the Golf Operations team.

Qualifications & Skills

  • Strong work ethic and attention to detail.
  • Ability to work independently and as part of a team.
  • Good communication and customer service skills.
  • Physically able to lift up to 50 lbs and work in various weather conditions.
  • Previous golf course or customer service experience is an asset but not required.
  • Must be available for shifts that may include early mornings, evenings, weekends, and holidays.

Bookkeeper/Office Assistant

Pay: $23.00 – $25.00 per hour

Position Overview: We are seeking a detail-oriented, motivated, and professional Bookkeeper / Office Assistant to join our Administration Team. This role is central to the club’s financial operations and day-to-day administrative efficiency. Reporting to the General Manager and working alongside all department heads, the Bookkeeper/Office Assistant ensures accurate financial record-keeping, timely payroll processing, organized administrative systems, and dependable internal support across the club.

Key Responsibilities

  • Accounts Payable
    • Process, verify, and code invoices.
    • Maintain vendor files and ensure documentation is current.
    • Analyze discrepancies and unpaid invoices.
    • Communicate with vendors regarding payment status.
    • Produce cheque runs and maximize supplier discounts.
    • Maintain accurate and up-to-date payable tracking systems.
  • Payroll & Employee Benefits Administration
    • Process bi-weekly payroll accurately and on time.
    • Review timesheets for accuracy and approvals.
    • Prepare payroll deposits and maintain confidential employee records.
    • Administer benefit documentation (enrollments, changes, updates).
    • Issue T4s, ROEs, and holiday pay when required.
    • Record taxable benefits and remit government/union payments.
    • Track attendance, vacation, and leave balances and prepare reports for the GM.
    • Maintain payroll and benefit records according to policy.
    • Provide HR-related administrative assistance only when requested by the GM.
  • Financial Reporting & Accounting
    • Maintain accounting journals, ledgers, and financial records.
    • Prepare journal entries and bank deposits; complete cash reconciliations.
    • Prepare monthly/annual financial statements.
    • Support budget, forecasting, and financial analysis.
    • Assist managers with inventory reconciliation and reporting.
    • Support month-end and year-end processes.
    • Provide documentation and support for the annual audit/review.
    • Maintain organized, secure financial record systems.
  • Administrative & Office Support
    • Coordinate meetings and prepare minutes.
    • Provide administrative support for club events, staff initiatives, and meetings.
    • Serve as backup to Accounts Receivable / Membership Coordinator.
    • Complete day-to-day customer service tasks and support member needs.
    • Assist in maintaining internal financial controls.
    • Maintain an organized, well-functioning office environment.
    • Manage filing systems and general administrative workflows.
    • Maintain office systems, software licenses, and administrative technology tools.
    • Prepare correspondence and administrative communications as directed.
    • Assist with Point-of-Sale system updates.

Qualifications

  • Education & Experience
    • Bookkeeping Certificate or Accounting Degree (or working toward either).
    • 1–3 years bookkeeping or clerical accounting experience.
    • Advanced knowledge of accounting principles and practices.
    • Cash handling experience and general awareness of BC Employment Standards as they relate to payroll.
  • Skills & Competencies
    • Exceptional attention to detail and organizational skills.
    • Strong interpersonal and communication abilities.
    • Commitment to high-quality customer service.
    • Proficiency with MS Office (Excel & Word); accounting software experience an asset.
